Digital workflows

What is a digital workflow, and where should a small team start?

A digital workflow is a repeatable piece of work moved out of chat groups and spreadsheets into one place with owners, statuses and a record.

Think of any task that passes through more than one person: a purchase request, a leave approval, a customer enquiry, a site inspection. Today it probably travels by phone call, WhatsApp message or a shared spreadsheet. A digital workflow gives that task a defined path, a named owner at each step and a status anyone can check.

Signs a process is ready to digitize

  • Someone regularly asks "where is this request?"
  • The same data is typed into more than one sheet.
  • An approval is chased by phone.
  • Nobody can say how long a typical request takes.

Start small

The mistake we see most often is trying to digitize everything at once. A better path is one workflow, one team, four weeks. Choose a process that is painful, frequent and has a clear owner. Run it in software, adjust it with the people using it, and only then add the next one.

Typical first candidates are requests and approvals, inventory issue and receipt, enquiry and follow-up tracking, and inspection checklists. Each can start as a small module and grow as the team trusts it.
